1. Order Acceptance Policy

All orders placed on our website are subject to verification, approval, and product availability.

• Receiving an order confirmation email does not signify final acceptance.
• We reserve the right to:
  • Refuse or cancel any order
  • Limit quantities purchased
  • Supply less than the quantity ordered
  • Request additional verification or security checks to prevent fraud
• Prices and stock availability are subject to change without notice.

If an order is canceled after payment authorization or processing, a full refund will be issued to the original payment method.

Pricing or Description Errors

If a product is listed incorrectly (price, specifications, or availability):

• We reserve the right to cancel the order at any stage
• If payment has been processed, a full refund will be issued

Tax-Exempt Customers

• Valid W-9 or resale certificate must be submitted for approval
• Tax exemption may be applied before or after an order
• If tax was charged and valid documentation is approved, it will be refunded
• Incomplete or invalid documents may result in tax being charged

California Tax Policy

Sales tax may not be charged where ITD Bay holds valid and verified tax-exempt documentation, subject to California regulations.

4. Payments & Credit Card Fees

All payments require authorization prior to order processing.

Credit Card Processing Fee

• A 3.5% non-refundable processing fee applies to all credit card payments
• Displayed at checkout
• Applies even if the order is canceled or refunded

Additional Payment Rules

• Billing address and phone number must match payment provider records
• New customers may experience a 1–2 business day verification delay
• ITD Bay is not responsible for missed promotions caused by declined payments or chargebacks

5. Shipping & Delivery

• Shipping times are estimates only
• Orders are processed after payment verification
• Delays may occur due to logistics, weather, or supplier factors
• Orders cannot be canceled once shipped

6. Order Cancellation

• Orders may not be canceled after shipment
• ITD Bay may cancel an order and issue an RMA if:
  • A product was incorrectly listed
  • Product description was inaccurate
  • Item was shipped incorrectly

7. Backorders

• Out-of-stock items may be placed on backorder
• Payment method will be authorized but not charged until shipment
• If the price:
  • Decreases → you pay the lower price
  • Increases → you will be notified and may cancel at no cost
• Backorders may be canceled any time before shipment

8. Returns & Refunds

• Returns must meet eligibility requirements
• Items must be unused and in original packaging
• Shipping fees may be non-refundable
• Approved refunds are issued to the original payment method
• Defective or incorrect items will be replaced or refunded

9. Non-Cancelable, Non-Returnable (NCNR) Items

Certain items (including special orders, end-of-life products, or manufacturer-direct items) are classified as NCNR:

• Orders cannot be canceled
• Products cannot be returned or refunded
• Warranty or replacement claims must be handled directly with the manufacturer
• NCNR status is clearly stated on product pages

10. Warranty & Manufacturer Support

• Manufacturer warranties apply to all products
• After 15 days from invoice date, warranty claims must be submitted directly to the manufacturer
• Warranty terms vary by product
• Extended warranty options may be available through manufacturers

11. Promotions, Discounts & Rebates

• Promotions are limited-time and while supplies last
• If an order ships after a promotion ends:
  • Discount may no longer apply
  • You will be notified and given the option to cancel or proceed
• Promotions may change or be withdrawn without notice

12. Compatibility & Customer Responsibility

• Technical support is generally provided by the manufacturer
• ITD Bay may provide reference information but does not guarantee compatibility
• Customers are responsible for verifying compatibility before opening packaging
• Opened, non-defective items are not returnable
